I would recommend that for the negatives you clean them with a wide soft brush and rehouse them in pHoton (tm) negative storage system. There are a couple of conservation supplies place in the UK that you can order from.
For the digital work it really depends on the quanity of digital records you have. Take a look at Extensis Portfolio, this is a digital asset management system. You can store you digital images and information about the images. In the system images are displayed as thumbnails, you can order them into folders and retrieve the hi res versions. There are also lots of other systems about, some free, have a look on TASI, a site that gives technical advice for handling digital images.
